3. Registration and access

3.1 ECW Live

A valid Live registration provides access to the digital layer made available for that registration.

3.2 Physical participation

Registration or an application does not guarantee a physical place. ECW may:

  • confirm access;
  • place the request on a waiting list;
  • maintain Live-only access;
  • decline physical access.

Selection may take account of capacity, professional profile, relevance and audience balance.

3.3 VIP status

VIP status corresponds to rights confirmed by ECW. It may apply to certain C-level profiles, approved in-person participants, training participants, speakers, ambassadors, sponsors or guests.

3.4 Private experiences

Private Executive Experiences are by invitation only. A purchase, partnership or professional title does not automatically grant access.

4. Identity and credentials

ECW may request reasonable proof of identity, role or organisation where necessary to:

  • issue a badge;
  • prevent impersonation;
  • secure an area;
  • protect a private experience;
  • enforce a sponsor / participant right.

Badges and invitations are personal. Any transfer requires ECW's consent.

5. Conduct

Participants must maintain a professional, respectful and safe environment.

The following are prohibited:

  • harassment;
  • intimidation;
  • discrimination;
  • threats;
  • violent conduct;
  • deliberate disruption of a session;
  • access to an unauthorised area;
  • prohibited recording;
  • disclosure of confidential information;
  • badge impersonation;
  • aggressive or persistent commercial solicitation after a refusal.

ECW may remove a person from a session or the event in the event of a serious breach.

6. Professional profile and networking

On joining ECW, a participant may have a professional profile in accordance with the Terms of Use and Privacy Policy.

Depending on rights, other users may:

  • discover their profile;
  • send a connection request;
  • request a meeting;
  • request private contact where a feature allows it.

The participant controls acceptance of requests that require their agreement.

7. Confidentiality and session rules

Sessions may be public, closed, private or subject to specific rules.

Where the Chatham House Rule applies, participants may use the information received but may not reveal the identity or affiliation of the speaker or any other participant without permission.

Stricter confidentiality rules may be communicated before a particular session.

8. Photographs and recordings

8.1 Official coverage

Atmosphere photographs and videos may be taken for ECW communications, reporting, future promotion and documentation, in accordance with applicable law.

8.2 Individual use

Interviews, dedicated portraits, filmed talks or individual recordings intended for editorial or promotional use are subject to appropriate information and consent where required.

8.3 Preferences

A participant with a particular constraint may report it through the event contact or during accreditation. ECW endeavours to provide an identifiable way to communicate a preference where operationally possible.

8.4 Private recordings

Recording may be prohibited in certain experiences. The absence of a general prohibition does not authorise recording confidential exchanges.

9. Personal belongings

Participants remain responsible for their personal belongings. ECW is not responsible for loss or theft unless a legally attributable fault is established.

Participants must comply with safety rules relating to their equipment and the venue.

10. Safety

Participants must comply with:

  • venue rules;
  • access controls;
  • safety instructions;
  • evacuations;
  • prohibited areas;
  • equipment rules;
  • reasonable directions from security / organising teams.

11. Travel and visas

Participants are responsible for their travel, visas, insurance, transport and health requirements.

An ECW invitation never constitutes a guarantee that a visa will be issued.

12. Programme changes

ECW may change a speaker, running order, schedule or room where necessary. ECW endeavours to preserve overall quality and coherence.

13. Refusal or exclusion

ECW may refuse or withdraw access where:

  • the participant has provided false information;
  • a badge is used fraudulently;
  • a security rule is breached;
  • conduct endangers or harasses others;
  • an essential contractual obligation is not met;
  • exclusion is necessary to protect a private experience.

Exclusion for serious misconduct does not entitle the participant to a refund of paid services already committed, subject to mandatory rights.

14. Personal data

Processing is described in the Privacy Policy. The participant undertakes to respect other participants' data to which they gain access.

15. Acceptance

Before registration / participation, the participant accepts:

  • the Terms of Use;
  • these Participation Terms;
  • the Privacy Policy (acknowledgement);
  • the specific terms applicable to a paid service.
